Traveler Agreement, Cancellation Policy & Media Release

Making a deposit for a trip with The Flamingo Project, An Affiliate of All the Travel, signifies traveler’s agreement to these terms and conditions.

Intro

Client agrees that All the Travel, on Client’s behalf, will incur expenses prior to the trip to coordinate Client’s participation in group travel programs. Client acknowledges that these expenses are based on non-refundable payments made by Flamingo Travel Adventures, and All the Travel affiliate, to secure accommodations, transportation, guides, permits, and other third-party services essential to the trip. Client further acknowledges that All the Travel, its employees, and agents will dedicate significant time and effort to secure Client’s position and deliver a meaningful, culturally immersive travel experience. Client agrees to the following terms of this Traveler Agreement:

1) Payment of Trip Price

Client will pay a non-refundable 50% deposit per person at the time of booking a position on a group trip. The remaining 50% balance of the trip price is due no later than 60 days prior to departure.

  • If full payment is not received by the due date, a $50 per person, per day late fee will apply.
    Travel rates, accommodations, and tour space cannot be guaranteed for Clients who fail to pay in full by the due date.

  • If a booking is made 60 days or fewer before departure, the full trip price is due immediately at the time of booking.

All payments are non-transferable. Prices are quoted in U.S. dollars and may be subject to adjustment if vendor rates, park fees, or government taxes increase prior to final payment.

2) Cancellation Policy

Should All the Travel determine it necessary to cancel a trip after receiving Client payment, All the Travel will, at its discretion, refund all payments made or apply those funds as credit toward a future All the Travel group trip. All the Travel is not responsible for any incidental expenses incurred by the Client, such as airline tickets, visas, vaccinations, or other costs not booked directly through All the Travel.

All cancellations must be submitted in writing and acknowledged by All the Travel in writing. The date of cancellation is the date All the Travel receives written notice.

If cancellation is received more than 90 days before departure: All the Travel will retain the non-refundable 50% deposit, plus any unrecoverable expenses already incurred on the Client’s behalf. Any balance paid beyond those costs will be refunded.

If cancellation is received 90 days or fewer before departure: All the Travel will retain 100% of the total trip cost. If the Client has not yet paid the full amount, the outstanding balance remains due and payable upon cancellation.

3) Travel Insurance Requirement

To guard against loss due to cancellation, delay, or medical emergencies, All the Travel requires all travelers to obtain travel insurance that includes:

  • Trip cancellation and interruption coverage

  • Medical emergency and evacuation coverage

  • Baggage loss or delay coverage

Clients agree to provide proof of travel insurance to All the Travel prior to departure. Clients traveling without proof of coverage do so at their own risk and may be required to sign an additional liability waiver.

4) Health & Safety

Clients are responsible for ensuring they meet all entry and health requirements for the destination, including valid passports, visas or Electronic Travel Authorizations (ETAs), and necessary vaccinations (e.g., Yellow Fever if applicable). Travelers should be in reasonably good health and able to participate in activities such as walking safaris, farm visits, and light hiking. All the Travel reserves the right to decline participation to any traveler whose condition, behavior, or preparedness could endanger themselves or others.

5) Itinerary Adjustments

While All the Travel makes every effort to adhere to the published itinerary, conditions such as weather, transportation delays, or local factors may require changes. All the Travel reserves the right to modify the itinerary, substitute accommodations, or adjust scheduling in the best interest of safety, comfort, and experience quality. These changes do not constitute grounds for a refund.

6) Responsibility & Liability

All the Travel acts solely as a coordinator for third-party suppliers providing accommodations, transportation, activities, and related services. Although every effort is made to select reliable partners, All the Travel is not liable for:

  • Injury, loss, or damage to person or property

  • Acts of nature, government restrictions, strikes, civil unrest, or other causes beyond its control

  • Additional expenses due to flight delays, cancellations, or schedule changes

Participation in this program is voluntary, and each traveler acknowledges that travel involves inherent risks. All participants will be required to sign a Travel Waiver and Acknowledgment of Risk prior to departure.

7) Media Release

I, the undersigned, hereby consent and agree that All the Travel, its representatives, employees, or agents, have the right to photograph, film, or record me during any All the Travel trip, event, or related activity. I grant All the Travel the right to use these images, videos, or recordings in any and all forms of media—print, digital, or broadcast—for promotional, educational, or editorial purposes. I understand that:

  • My name and identity may be used in connection with these materials.

  • I waive any right to compensation, royalties, or approval related to their use.

  • I release All the Travel and its agents from any claims or liabilities arising from the use of my likeness or voice in such materials.

8) Governing Law

This Traveler Agreement shall be governed by and construed in accordance with the laws of the State of Texas, without regard to conflict of law principles. Client agrees to submit to the personal jurisdiction of the courts located in that state for any dispute arising from this Agreement or the travel described herein. All the Travel shall be entitled to recover reasonable attorney’s fees and costs incurred in enforcing this Agreement.

9) Acknowledgment

By submitting payment, completing online registration, or signing this document, the Client confirms that they have read, understood, and accepted the terms of this Traveler Agreement, Cancellation Policy, and Media Release.
